Privacy Policy for "ColSystem: Client Application"

This Privacy Policy describes how ColSystem collects, uses, and discloses your information in connection with your use of our Android application, ColSystem: Client Application.

The App functions as a client to read, organize, and interact with data from a web-based Knowledge Management System (KMS) https://colsystem.vercel.app. 

1. Information We Collect

We collect information in the following ways to provide and improve the functionality of the App.

a) Information You Provide Directly

To connect the App to your KMS, you will be required to provide connection details. This may include a username, and/or a password ("Credentials"). These Credentials are used exclusively to establish a connection with your KMS.

b) Information We Access From Your KMS

• Your Content: When you connect the App to your KMS, the App will access and read the data stored within it. This includes notes, documents, pages, images, attachments, tags, and associated metadata ("Content"). The App temporarily caches this Content on your device to enable offline access and improve performance. We do not transfer or store your Content on our servers.

c) Information Collected Automatically

• Usage Data: We do not collect any information about how you interact with the App, except for logging activity. 
• Device and Technical Information: We do not collect information about the device you use to access the App, including the device model, operating system version, app version, unique device identifiers (if necessary for functionality), and mobile network information.
• Crash Reports and Diagnostics: If the App crashes, we do not collect diagnostic reports to help us identify and fix bugs.

2. How We Use Your Information

We use the information we collect for the following purposes:

• To Provide and Maintain the App: Your Credentials are used solely to authenticate with and sync data from your KMS. Your Content is accessed to be displayed within the App as per its core functionality.

3. Data Storage and Security

The security of your data is our top priority.

• KMS Content: Your Content is fetched directly from your KMS to your device. A cached copy of your Content is stored in the App's storage on your device to allow for offline access. This cache can be cleared by you at any time by clearing the app's data in your Android settings or by uninstalling the App. We do not have access to this cached data.
• Data Transmission: All communication between the App and your KMS is transmitted over a secure, encrypted channel (e.g., HTTPS/TLS).

We do not sell, rent, or trade your personal information. We may share information under the following limited circumstances:

You have control over your information:

• Access and Modify Your Content: You can access and modify your Content directly through your KMS. Changes made will be reflected in the App upon the next sync.
• Delete Data: Uninstalling the App will delete all locally stored data, including your Credentials and the cached copy of your Content.

6. Children's Privacy

Our App is not intended for use by children under the age of 13 (or the equivalent minimum age in your jurisdiction), the app is intended for people of higher education. We do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child without verification of parental consent, we will take steps to remove that information.

7. Changes to This Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy within the App or on our website. You are advised to review this Privacy Policy periodically for any changes.
